Allowing Self-registration for Guest users

RESPONSUM allows to you to setup “Self-registration” for guest users so that users can register when coming in via a “Public shared” link towards an item. If the user is not known and this functionality is enabled, the user will be able to self register as a “Guest user”.

Pre-requisites to get started

  • Access as power or promoted user towards Settings >> My organization as “Editor” or higher permission level
  • Knowing the domain or domains that you want to allow self-registration for

Fast-track to Brilliance

  • Navigate to Settings >> Setup >> My organization
  • Select the top level Organizational Unit (Your tenant/environment)
  • In the sidepanel that opens, scroll down to “Self-registration for guest users”
  • Toggle “Enable “Guest” self-registration for RESPONSUM?” to “Yes”
  • Provide one or more comma separated email domains that you want to enable self-registration for
  • Either publicly share a link to users that need to self register and see a specific item OR have users self register with no access yet by navigating to https://responsum.app/r

Step-by-step guidance

Self-registration setup

Self registration is by default turned Off and can be enabled with the steps below

  • Navigate to Settings >> Setup >> My organization
  • Select the top level Organizational Unit (Your tenant/environment)
  • In the sidepanel that opens, scroll down to “Self-registration for guest users”
  • Toggle “Enable “Guest” self-registration for RESPONSUM?” to “Yes”
  • Provide one or more comma separated email domains that you want to enable self-registration for

Allows you to provide access to a specific item within RESPONSUM and let the user self-register as a guest user before being able to access that specific item.

  • Make sure self-registration is configured as shown under “Self-registration setup” above
  • Navigate to an item that you want to share with self-registered guest users within any sub-module
  • In our example we use a processing activity within the register
  • On the detail page of the processing activity, select the “Share” button in the top right
  • In the share window that opens, under the “Public access” header, select a permission that you want to provide users coming in via the link (Instead of the default, “Off”)
  • When set, copy the generated link and provide this to the required users or put this link on an accessible place for all required users (Ex. your company intranet)
  • When the link is used, an existing (Guest) user will directly get logged in and navigate to the item shared
  • If the user is not yet known, he/she can Self-register by providing an email address followed by clicking the link in the received email to confirm they are the owner of the email address
  • When the user provided their first and last name, they will be logged in and directed to the shared item with the set permissions.
  • You will notice that the user is now added to user management as a “Self-registered” guest user

Self-registration can also be used on it’s own without first sharing an item publicly. However, this requires additional setup for the created guest user to have access/permissions towards certain items

  • Make sure self-registration is configured as shown under “Self-registration setup” above
  • Navigate to https://responsum.app/r
  • If the user is not yet known, he/she can Self-register by providing an email address followed by clicking the link in the received email to confirm they are the owner of the email address
  • When the user provided their first and last name, they will be logged in but with no items shared with them yet (Empty environment)
  • You will notice that the user is now added to user management as a “Self-registered” guest user
  • As a power/promoted user, you can now start sharing items with this newly registered guest user
